How to Use Your Target Calendar

Now you’ve got leads and jobs up and running with assigned workflows, and set your target dates, you can view your target calendar, which will automatically populate with tasks from your leads and jobs.

Note: Only users with View target calendar enabled in their role permissions can access the target calendar.

Tip: Have your target calendar up on a screen in your factory for all staff to be able to view their scheduled jobs. They can also click into the job to view more information!

Understanding your Target Calendar

When accessing your target calendar, it will default to the month view. Using the filter options above your calendar you can:

  • View by day, week or month.
  • Use the arrows to go back or forward by one day, week or month.
  • Click Today to return to the current day, week or month.
  • Use the search bar to find a task.
  • Click the filter icon to show/hide certain calendar entries.
  • Click the refresh icon to update your calendar.

Target Calendar Permissions

The tasks that a staff member can see inside their target calendar are dependent on which permissions that staff member has been given. This is regardless of whether they are an office user or a kiosk user.

(Administrators do not require any additional permissions.)

Any user needing access to the target calendar must have View target calendar enabled.

If the user needs to make changes to scheduled tasks, they must have Edit target calendar enabled.

Users can also have any combination of the following permissions:

  • View leads – allows the user to see tasks for leads which they are a member of.
  • View other staff members’ leads – allows the user to see tasks for all leads – requires View leads.
  • View jobs – allows the user to see tasks for jobs which they are a member of.
  • View other staff members’ jobs – allows the user to see tasks for all jobs – requires View jobs.

These permissions will then determine how much information each staff member can see in their target calendar, depending on what role they have been assigned.

Target Calendar Filters

Using the filter icon, you can narrow down what you see on your target calendar:

Once you’ve clicked Filters, you can:

  • Use a filter preset to run a pre-established search of your calendar.
  • Use the Item drop-down to select Jobs or Leads and then open a new series of drop-downs to filter by statuses, types, members, member types, task operations or task members (see below).
  • Use the Task Members drop-down to select one or more individual staff and show only tasks that they are members of.

Drop-down Options Explained

Item: View tasks for leads, jobs, or all.

Statuses: View tasks for leads/jobs in a specific status(es).

Types: View tasks for leads/jobs of a specific type(s).

Member: View tasks for leads/jobs that have one or more specific staff assigned as lead/job members.

Member Type: View tasks for leads/jobs that are allocated to one or more specific member types.

Task Operations: View tasks for leads/jobs that fall under one or more specific operations.

Task Members: View tasks for leads/jobs that have been allocated to one or more specific task members.

Once you have selected all your filter options, click Apply Filters to view the chosen information in your target calendar.

How to Use Filter Presets

When you click into your target calendar, Jobman will re-select the filters you selected the previous time, but will forget them if you select something else.

If you regularly want to view your calendar with a specific combination of filters (for example, “Jobs/Commercial/Machining/John Smith”), you can create Presets to save a combination of filters so you can easily run that same search whenever you look at your target calendar.

Creating a Preset

To create a preset, follow these steps:

  1. From your Target Calendar, select the Filters icon.
  1. Select the combination of filters that you want for your preset.
  2. Click Add new preset, enter a name, and Save Current Filters.

Note: Your presets are unique to your Jobman user account. Your staff members cannot view/edit your presets, and you cannot view/edit anyone else’s presets.

Applying A Preset

To apply a preset, select Target Calendar > Filters > Preset and choose one of your saved presets from the drop-down. Then select Apply Filters.

You can click Reset to de-select these filters.

Applying a Preset with Additional Filters

When you select a preset, the search form will automatically populate with the filters contained in that preset. You can then apply additional filters, or even remove selected filters, before searching in the target calendar.

For example, say you have a preset called “Commercial Machining” which filters job tasks with the job type “Commercial” and the job status “Machining”. On this occasion, you only want to look at job tasks in these categories which are assigned to your staff member John.

Choose “Commercial Machining” from the Preset dropdown, then select your additional filters – in this case, Job Members > John, then Apply Filters.

Note: this will not save the change to your preset, so the next time you select “Commercial Machining”, it will not filter for Job Members > John.

Updating or Deleting a Preset

There is currently no option to save changes to an existing preset. If you need to update the preset’s filters, we recommend deleting the existing preset and creating a new preset to apply the updated filters.

To delete a preset, select it from the Preset dropdown in Filters, then click the Delete icon.

You can now create a new preset following the above process to replace the preset you deleted.

Updating Task Start/Finish Times and Dates

By default, all tasks in the target calendar will be set to start at 6:00am.

You can change the start/end time or date for a task in one of two ways:

  1. Click on the task, and a pop-up will appear with all the task details. Click Update and enter the new times or dates, then click Save Changes.
  2. Click-and-drag the task to move it to a new day or time slot.You can also click-and-drag the bottom of a task segment up or down to adjust the end time (Note: You must have the calendar set to Day or Week view).

Please Note: When you change a task date, a pop-up will appear and ask whether you want to recalculate the target dates for other tasks in this job, and whether you want to ignore capacity restraints:

Split Segments in the Target Calendar

By default, target calendar entries will appear as single blocks of time on a given day. However, you can split an entry into two or more blocks, so that the total task time can be spread out over multiple days!

Simply right-click on a target calendar entry and click Split, then click-and-drag your entries as desired.

Your split entries will not exceed the total estimated task time, so if you extend the time on one segment, the other(s) will be reduced accordingly.

Creating and Editing Operation Colours to Differentiate Tasks

You can customise your target calendar even further and enhance visibility by assigning different colours to your tasks!

To create and edit operation colours, follow these steps:

  1. From the User Menu Panel, navigate to Settings > Operations:
  1. Click into the operation you want to add/change the colour for.
  2. Click Update.
  3. Choose a colour from either the standard set or the advanced colour selector.
  4. Change the text colour if desired. (Tip: For dark operation colours, you will need a lighter text colour.)
  5. Click Save Changes.

Tasks linked to that operation will now show in the target calendar as segments with this colour!
